Fund administrator & Office Manager
Job Description
We are looking for a full-time Fund administrator & Office Manager for our office in Silicon Valley. Initially, the person will start working remotely and go to the office only once per week. This person will join a highly collaborative team and be a key liaison to the other internal functional areas within the firm.

- Basic coding skills. edit simple existing code (especially MySQL)
- Assertive. Assertiveness to push staff, including superiors, to accomplish important work timely
- Clear communication, English skills
- 2+ years of experience in fund operations or fund administration and understanding of portfolio accounting
- Bachelor’s degree in accounting, finance or related field, or equivalent experience
Main Responsibilities
- Fund administration tasks:
- Monthly: capital inflow/outflow to inform Fund Administrator & trader
- Manage and maintain investor data
- Drive execution of contracts with counterparties new investments, custody or services
- Quarterly: Estimate Accruals & Expense Reimbursement
- Support Auditor in Yearly Audit
- Performing month-end close processes & fund performance report preparation
- Assist on Compliance tasks
- LLC Controller:
- Financial Control (checks & wires out, deposit in & Fund wires)
- Monthly Payroll
- Quarterly: Employee Brokerage Statement Review
- IT Management, Access Control & Security
- Office Manager tasks:
- Daily check and handle inbound mail & email
- Office management:
- Leading interactions with vendors and providers
- Expenses: paying vendors through Quickbooks
- Manage Facility (manage janitorial, landlord issues)
- New hires onboarding
- Drive interactions with Tax Preparers and Authorities
- Travel arrangements
- CEO assistance
- Manage & prioritize CEO´s inbox & meetings
- Quarterly tax Estimate Calculation
- Manage large personal cash flows / account balances
