Job Description

We are looking for a full-time Fund administrator & Office Manager for our office in Silicon Valley. Initially, the person will start working remotely and go to the office only once per week. This person will join a highly collaborative team and be a key liaison to the other internal functional areas within the firm.

  • Basic coding skills.  edit simple existing code (especially MySQL)
  • Assertive.  Assertiveness to push staff, including superiors, to accomplish important work timely
  • Clear communication, English skills
  • 2+ years of experience in fund operations or fund administration and understanding of portfolio accounting
  • Bachelor’s degree in accounting, finance or related field, or equivalent experience
Main Responsibilities
  • Fund administration tasks:
    • Monthly: capital inflow/outflow to inform Fund Administrator & trader
    • Manage and maintain investor data
    • Drive execution of contracts with counterparties new investments, custody or services
    • Quarterly: Estimate Accruals & Expense Reimbursement
    • Support Auditor in Yearly Audit
    • Performing month-end close processes & fund performance report preparation
    • Assist on Compliance tasks
  • LLC Controller:
    • Financial Control (checks & wires out, deposit in & Fund wires)
    • Monthly Payroll
    • Quarterly: Employee Brokerage Statement Review
    • IT Management, Access Control & Security
  • Office Manager tasks:
    • Daily check and handle inbound mail & email
    • Office management:
      • Leading interactions with vendors and providers
      • Expenses: paying vendors through Quickbooks
      • Manage Facility (manage janitorial, landlord issues)
    • New hires onboarding
    • Drive interactions with Tax Preparers and Authorities
    • Travel arrangements
  • CEO assistance
    • Manage & prioritize CEO´s inbox & meetings
    • Quarterly tax Estimate Calculation
    • Manage large personal cash flows / account balances
